The Hagerstown-Jefferson Township Public Library Board of Trustees seek a Library Director that is committed to serving the public by providing for the lifelong information, educational, recreational, and cultural needs of the community.

Under the general supervision of a 7-member board, the library director:

  • Administers all personnel, programming, financial, facilities and community relations functions of the library.
  • Submits recommendations for library policies and services to the Library Board and implements policy decisions set by the Board.

Position Summary:

  • Provides information by searching or recommending print or electronic sources or titles, places materials request, searches shelves, or refers to other libraries or community sources. Instructs patrons in using online catalog, print and electronic sources to access information, and in using computers and equipment, as well as other online resources including government and social services websites.
  • Assists in the collection and analysis of data on library use, services, trends and community resources.
  • Resolves customer service situations at Central; models and encourages staff to provide excellent customer service. Responds to patron requests from all of Marion County, especially in the areas of business, non-profits, and computer instruction.
  • Acts as person-in-charge on a regular basis; attends to patron, security and building and grounds issues as needed. Monitors patron behavior in a 6-story, 476,000 square foot building, including parking garage for safety concern; and informs and enforces library policies and procedures as needed. Determines if suspension of patron privileges is warranted and length of time of suspension.
  • Receives and resolves patron complaints as needed.
  • Creates, monitors and adjusts long-range and weekly schedules for staff.
  • Works with Library leadership to set and monitor branch and system strategic goals.
  • Able to work the normally scheduled work time for this position.
  • Able to cope with daily job-related stress.
  • Able to manage multiple tasks/patron assistance effectively in a chaotic work environment.

Difficulty of Work:

The specialist will process approximately 150 interlibrary loan requests daily, as well as make updates to the status of requests already processed. The specialist will need to exhibit excellent time-management, balancing customer service inquiries, technical support requests, and occasional deadlines. As an ambassador of the Indiana State Library, the specialist must always provide exceptional customer service and demonstrate good judgement. Although most of the work is performed independently, the specialist must be willing to work with groups, in person and virtually.

Responsibility:

The specialist will be expected to work independently with minimal guidance from the Library Development Office supervisor. The specialist will be responsible for establishing a daily schedule and maintaining a calendar that will be shared with their supervisor and other staff via Microsoft Outlook. The consultant will be responsible for making independent decisions and routing questions to the appropriate Indiana State Library staff as needed. Failure of the consultant to perform duties as required can result in lost or delayed library materials.

• Ensures that a professional audit of the Library’s finances is conducted annually and the
results are reported to the Board.
• Insures all corrective actions are implemented in a timely manner.
• Looks to find granting and sponsorship opportunities for the Library and serves as chief grant
writer

Strategic Planning & Community:
• Works collaboratively with the Board to develop and implement a strategic plan.
• Lead the community needs assessment insuring broad participation from various
stakeholders.
• Works collaboratively with the Friends of the Library, donors and volunteers.
• Support the work of the Friends of the Library in a proactive manner.
• Participates and serves on various boards and committees on the local, state, and national
level

PART-TIME LIBRARY BOOKKEEPER/TREASURER

The Greensburg Decatur County Contractual Public Library seeks a Library Bookkeeper/Treasurer who is committed to serving the public by providing for the lifelong information, educational, recreational, and cultural needs of the community.

This is a part-time position averaging 15 – 20 hours per week.

Under the general supervision of the library director:

Uses the SBOA-approved fund accounting system in all monthly bookkeeping functions.  This includes: processing vouchers, posting warrants and claims, balancing bank accounts, processing payroll, and investing library funds.
Prepares and assists in the preparation of year-end reports (including the Annual Financial Report) and monthly board meeting reports.
Assists and advises the Director in financial matters related to the library.
May serve as Treasurer of the Library Board of Trustees.  Makes annual financial presentation to the Library Board.
Maintains employee and financial records.
Prepares reports for budget preparation, serves as advisor to the Director in the budget process, attends bookkeeping and budget workshops as needed
Coordinates, works with, and trains backup bookkeeper as needed.

The Greensburg Decatur County Contractual Public Library is a Class B library with 22 staff members and serves a population of 26,472 citizens in Southeastern Indiana with a current annual budget of $1.8M.

Responsibilities:

Stacks and Collection Maintenance
Maintain the physical order of the library collections through multiple workflows that fall under this position’s responsibility. This work ensures collections, physical resources, and shelving remain accurate and accessible to all library users. Success in this area requires strong attention to detail, the ability to complete tasks independently with accuracy, and the skill to check one’s own work. The coordinator will also have assigned floors and designated shelf ranges to oversee.

Student Training and Management
Hire, train, and supervise a team of Document Delivery and Stacks student employees who help fulfill document delivery requests and maintain the physical collections of Hesburgh Libraries. This role requires the ability to analyze challenges, propose solutions, and implement changes independently. The coordinator will monitor the quality of student work and step in to perform responsibilities directly when student staffing is unavailable.

Team Collaboration and Professional Development
Stay current with new processes and evolving library policies while ensuring student employees are informed of relevant updates. Participate in workshops and professional development opportunities to expand skills and expertise. This role will also be trained to support other User Services teams including Circulation Services, Course Reserves, and ILL Lending and Borrowing when needed.


Qualifications

Minimum Qualifications:

  • Education: One year certificate or training from college or technical school
  • Experience: 1 year related work experience

Skills:

• Provides general reference and readers’ advisory services
• Works in a multi-tasking services environment
• Assists patrons in the use of self-check
• Works directly with the public in the circulation of library materials and instructs and assists
patrons in the use of information resources, library equipment and related software including
copiers, microfilm reader/printer, computers, Internet, databases, OPAC, ILS, etc.
• Keeps abreast of library and departmental operational processes; communicates and supports
policies, procedures, and guidelines when dealing with the public and staff
• Performs clerical tasks to assist the department: answering phone and email queries, compiling
statistics, entering data, and photocopying
• Maintains confidentiality of patron information
• Develops and assists with library programming, as needed
• Stays informed about issues and trends by reading professional literature and attending
workshops and conferences; participates in professional development opportunities
• Attends and contributes to staff meetings; takes part in special projects and committees as
assigned
• Assists with staffing in other departments, as needed
• Performs other duties as assigned

ESSENTIAL SKILLS:
• Must be physically able to retrieve materials from library shelving
• Must have the manual dexterity to operate library equipment
• Must have adequate eyesight, depth perception, and color vision to perform duties
• Must be able to view a computer monitor and perform mouse and keyboarding tasks with
dexterity and accuracy for extended periods of time
• Must be able to turn, balance, push, handle, reach, stoop, walk, sit, and stand for extended
periods of time
• Must be able to lift 25 lbs. and push a fully loaded book truck, which can weigh over 100 lbs.
