As a key team member, you will provide essential accounting, personnel, and administrative support to the Executive Director, staff, and Library Board of Trustees. Your role will be pivotal in ensuring the smooth operation of our Library’s financial and administrative functions, contributing to short- and long-term planning efforts. Key Responsibilities:

  • Financial Management: Oversee Library accounts and investments, including receivables, expenses, and purchases. Maintain accurate records and files of expenditures, process invoices, and ensure timely payments through our accounting system.
  • Payroll and Personnel Records: Manage Library personnel and payroll records, including bi-weekly payroll processing.
  • Compliance and Reporting: Ensure compliance with Indiana State Board of Accounts and Department of Local Government Finance requirements. Prepare, upload, and analyze financial reports and assist with State Board of Accounts audits.
  • Board Support: Assist with preparing and distributing meeting agendas, reports, postings and minutes.
  • Financial Planning: Collaborate with the Executive Director to develop and maintain financial reports and documents. Assist in preparing the annual Library budget and oversee bond reporting compliance.
  • Vendor Communications:  Process vendor invoices and W-9, 1099 reporting requirements. Coordinate vendor services occurring at the library.
  • Administrative Assistance: Support the Executive Director with correspondence, reports, and other administrative tasks as needed.
  • Continuous Learning: Participate in continuing education opportunities and engage with professional groups to stay current with industry best practices.

Essential Knowledge, Skills, and Abilities:

  • Professional Ethics: Maintain fair and honest business practices.
  • Technical Proficiency: Familiarity with MS Office Suite and accounting software.
  • Accounting Knowledge: Understanding of general accounting principles.
  • Judgment and Initiative: Ability to exercise sound judgment on personnel and financial matters and independently manage projects and priorities.
  • Communication Skills: Strong ability to communicate professionally in both oral and written English and to build positive relationships with staff, patrons, vendors, and contractors.
  • Adaptability: Capability to work accurately in a fast-paced environment with frequent interruptions.
  • Experience: Two-year degree and minimum of 3 years’ experience in accounting field including payroll and personnel, account receipts and payables, and month end financial processing.  Any equivalent combination of education and experience that provides the applicant with the desired skills, knowledge, and demonstrated ability to perform the requirements of the position may be considered.
  • Knowledge & Support of Library Principles:  Understanding of library policies, procedures, and principles of intellectual freedom.

$15.00 – $18.00/hour, 25-30 hours/week
